Health & Safety Policy

**Purpose:**

To ensure the safety and well-being of all members, volunteers, and participants during Out-Out Groups UK events held at public venues.

 

**Scope:**

This policy applies to all activities organised by Out-Out Groups UK, including regular meetings, social events, and any other gatherings.

 

**1. Venue Assessment:**

 

- **Pre-Event Check:** Prior to each event, a designated organiser will assess the venue for potential hazards. This includes checking for safe access and egress, cleanliness, and any specific risks related to the event.

 

- **Accessibility:** Ensure the venue is accessible to all members, including those with disabilities.

 

**2. Fire Safety:**

- **Evacuation Plan:** Identify the fire exits and ensure all attendees are aware of the evacuation routes and meeting points.

 

- **Fire Equipment:** Check that fire extinguishers and alarms are present and accessible.

 

**3. Emergency Procedures:**

- **First Aid:** Identify the location of the nearest first aid kit and ensure there is at least one person trained in basic first aid at the event.

 

- **Emergency Contacts:** Have a list of emergency contact numbers available, including local emergency services and the venue's management.

 

**4. Member Conduct:**

 

- **Behavior:** Encourage respectful and considerate behavior among all attendees. Address any conflicts or issues promptly to maintain a safe and welcoming environment.

 

- **Substance Use:** Remind members to consume alcohol responsibly and follow any venue-specific rules regarding alcohol and smoking.

- **Activity Risk Assessment:** Assess the risk associated with specific activities (e.g., physical games, outdoor events) and take appropriate measures to mitigate these risks.

 

- **Incident Reporting:** Establish a procedure for reporting and documenting any accidents, injuries, or safety concerns during events.

- **Safe Space:** Promote a culture of inclusion and respect, ensuring that all members feel safe and supported.

 

- **Mental Health:** Provide information on mental health support services and encourage members to seek help if needed.

 

**7. Communication:**

- **Information Sharing:** Clearly communicate this health and safety policy to all members and volunteers. Make the policy available on the group’s website and at events.

 

- **Feedback:** Encourage members to provide feedback on health and safety issues and use this feedback to improve future events.

 

**8. Responsibilities:**

- **Organisers:** Ensure compliance with this policy, conduct risk assessments, and manage any incidents that arise.

 

- **Members:** Follow the guidelines set out in this policy, report any hazards, and support the safety and well-being of fellow attendees.
